The Entertainment Relations Team is responsible for identifying and creating opportunities that deliver an unrivaled brand experience to artists, fans, and like-minded lifestyle brands. This team works collaboratively with Sales, Marketing, Production/Manufacturing and touches Content, Social, and Events to deliver tailored promotions, experiences, and partnerships both nationally and globally. Gibson’s Entertainment Relations Showrooms are cultural centers located in primary markets around the world. These exclusive spaces provide musicians and other luxury brand partners an unrivaled music experience that establishes Gibson’s dedication to and support of artists in that market and as a result the loyalty of music makers. The Showroom Coordinator, reporting directly to the Entertainment Relations Manager/Director and sitting within the Global Entertainment Relations team, will be responsible for managing and maintaining the Gibson Showroom in his/her region as well as all artist and brand partner accommodation sales. He/she will be responsible for inventory management of Gibson and all other Gibson brands (Epiphone, Kramer, Steinberger, KRK, Cerwin-Vega, etc.) housed within the showroom. The Showroom Coordinator will also be responsible for tracking the flow in and out of this inventory as it is placed with artists and partners to generate and expand brand exposure and brand loyalty. This encompasses product placements with artists and brands, product placements in TV and Film, and any other beneficial product placements as determined by the Entertainment Relations Manager and Director. 

 

The Showroom Coordinator bears the responsibility for the overall maintenance of the Gibson Showroom including first-class presentation of Gibson and other products and general cleanliness and appearance of the space and gear inventory that reflects Gibson’s dedication to quality and prestige. Day-to-day responsibilities include oversight of all showroom operations and operational needs including inventory maintenance, invoice processing, office supplies, vendor and other relationships (cleaning, sound engineers, property management, etc.). He or she will work with Entertainment Relations teams around the world to develop standard efficiencies and protocols for global network of Gibson Showrooms. In addition, the Showroom Coordinator will work with the Entertainment Relations Director/Professional to ensure the overall utilization of the Gibson Showroom in his or her market, producing events that amplify Gibson’s regional/national presence and dedication to supporting our roster of artists. 

 

The Showroom Coordinator role is critical, as this position represents the face of Gibson and our commitment to servicing our artists who represent the brand’s biggest fans. The successful Showroom Coordinator must represent Gibson professionally and with passion in all interactions with partners and artists. As an important member of the team, the Showroom Coordinator must reflect Gibson’s commitment to music and its makers. 

 

Willingness to dive deep into the details while keeping an eye on the bigger picture will be critical to identifying opportunities and providing an exceptional brand experience to the company’s artists and fans. A demonstrated ability to create and maintain an exclusive, exceptional brand experience for all artists and partners visiting the showroom is vital. Juggling multiple priorities while working in a fast-paced, multi-functional, matrixed, and international team is required.

 

ROLES & RESPONSIBILITIES

 

Entertainment Relations Showroom Coordinator:  

Responsible for the overall maintenance, look and feel of the Gibson Showroom in his/her market, the Showroom Coordinator will maintain appropriate representation of the showroom while applying creativity and strategic vision to develop and maintain a best-in-class experience for all showroom visitors. Specifically, the Showroom Coordinator will oversee all showroom responsibilities:

  • Maintain Gibson family of brands inventory and flow in and out of showroom.
    1. Oversee and maintain required paperwork related to inventory control and flow of inventory in and out of showroom.
    2. Communicate directly with product lines for product replenishment and regular inventory reporting. 
    3. Ensure all product displays are presented at highest level (cleanliness of product, all product lines are being represented, etc.).
    4. Act as the resident expert on all product: ensure appropriate level of product knowledge.
  • Oversee all artist and partner accommodation sales support. 
    1. Generate sales and consistently hit sales targets
    2. Manage all aspects of sales processing for region
    3. Work with product lines for inventory replenishment
  • Support showroom manager with all artist partner showroom visits by providing an exceptional brand experience. 
    1. Provide highest levels of customer service and hospitality for all showroom visitors.
    2. Exhibit passion for and knowledge of the Gibson brand. 
    3. Consistently provide quality artist content featuring Gibson product placements for use on Gibson socials and Web. 
  • Support Company Content Creation and Social Media Initiatives.
    1. Facilitate capture of content and social media as needed
  • Support Entertainment Relations Manager and Director for all community-specific activations in the Gibson Showroom and in the field relevant to the Gibson brand, partners, and artists (music showcases, cultural events, festivals, etc.). 
    1. Facilitate staffing needs and related invoices, presentation of product during events, and security of product during events. 
    2. Facilitate accounts payable for regional event budget. 
    3. Oversee exclusivity of Gibson and related products for sponsored events and showroom events by allocating necessary loaner equipment for participating brands and artists.
  • Support Entertainment Relations Manager and Director in developing partnerships with brands that will benefit the Showroom. 
    1. Food and Beverage partners
    2. Luxury brands for artist gifting and giveaways
    3. Content/media partners
  • Work closely with other ER Coordinators, Managers, and Directors to craft and execute national and global event activations as a team.
    1. Tradeshows
    2. Festivals
    3. Artist Signature Launches

 

Reporting:

Full and transparent communication of weekly activities is a critical element of the Showroom Coordinator role due to remote location at a Gibson Showroom.  Specifically, the Showroom Coordinator will:

  • Keep a daily log of artist and partner interactions.
  • Submit a weekly report of key successes and exposure points.
  • Prepare bi-weekly visual highlights and other informational reports/analysis for management and stakeholders.
  • Recommend benchmarks against which to measure the performance of your Entertainment Relations market and showroom.

 

Other:

While the Showroom Coordinator must be proficient in executing the responsibilities noted above, tasks of equal value are required in this role: 

  • Establishing and maintaining strong relationships with teams locally and globally to identify their needs and seek full range of business solutions (Marketing, Sales, Manufacturing/Production, Social, Events, etc.). 
  • Support day-to-day responsibilities of the Entertainment Relations Director and Manager.

 

PERSON SPECIFICATION

Required Experience

  • 2-3 years of experience managing a brand, retail, production or office space with inventory management.
  • Deep knowledge of music industry with strong existing knowledge of Gibson family of brands.
  • Understanding of guitar with ability to tune and change strings. 
  • Social media savvy/ understand social media mechanics.
  • General understanding of sound and stage production.
  • Experience in executing events in a support role.
  • Proven ability to manage inventories of high-value products.
  • Proven experience supporting growth through transparency, consistency, and disciplined execution.

Travel
 
Periodic travel for event execution and the company’s manufacturing and sales locations will be required (approximately 10%).
